Inside of the Library of your firm's Q&A Center, you can add some metadata to your responses which will help you organize your content as well as help to ensure that you are staying on top of updating the responses. You can make use of Tags, adding SME's, and Expiry Dates to more effectively manage the process of updating your firm's content.
Tags
In order to add Tags to your responses, you will first need to create Question Categories from the Firm Settings menu. From the Firm Settings page, click on Manage Tags and Custom Fields > Universal. Add your new tags in the Question Category section by clicking on the Plus Icon on the right side. Multiple values can be added at one time, if needed.
Once you've created your categories, navigate back to your Q/A Library. Click on the Edit Icon to the right of a response to bring up the Edit window. From here, click on Show Additional Options. Under Tags, use the dropdown to select the appropriate tag(s) for your response. Multiple tags can be added; just select them one at a time. Make sure to click the Update button to save your changes.
You can also add Tags in bulk. Use the checkboxes on the left side of the questions to highlight them. Then use the Manage Tags button in the upper left to bulk assign tags. In the following window, use the Add button on the right to add tags to individual questions. You can also use the dropdown at the bottom of this window to add tags to all the selected records. Click Update to save your changes.
SME's
You can also assign Subject Matter Experts (SME's) to your responses. This allows you to identify which team members are responsible for keeping certain responses up to date. You can add SME's the same way that you can add tags to a response. Click the Edit Icon to the right of the question; then click on Show Additional Options. Then select your SME's from the dropdown, and click Update.
SME's can be assigned in bulk as well. Use the checkboxes on the left to highlight the relevant questions. Then use the Manage SME's icon in the upper left to bulk assign team members.
Expiry Dates
Expiry Dates can be especially useful if you have responses with Month-End or Quarter-End data that need to be updated at the end of the time period. To add Expiry Dates to an individual question, click on the Edit Icon on the right. Then click on Show Additional Options and select your Expiry Date below. Click Update to save your changes.
Expiry dates can also be added in bulk by using the checkboxes on the left to highlight the relevant responses. Then click on the calendar icon in the upper left for Manage Expiry Dates.
Once you've added your Expiry Dates, you can use the Expiry Date filter to see everything that is already Expired... or set to expire in the next 5, 10, or 30 days.
