About DV Assist for Requestors
In today’s investment management ecosystem, time, accuracy, and scalability are paramount. Due diligence remains a cornerstone of investor–manager relationships, yet the process is historically labor-intensive, fragmented, and riddled with inefficiencies. Recognizing these challenges, DiligenceVault has introduced DV Assist functionality designed to auto-populate questionnaires, extract structured insights from documents, reduce the manual burden of due diligence, and help refine written responses.
For Requestors, DV Assist primarily helps in two areas:
- Auto-filling responses using existing documents and past submissions
- Improving and refining written responses
How to use DV Assist
DV Assist can be used in two main ways, depending on the workflow:
1. Using AI Auto-Fill
AI Auto-Fill helps generate draft responses by leveraging existing documents, directly fetching information from the documents to the projects.
I. How it works
- Go to Diligence > Projects tab
- Select the relevant project
- Navigate to Auto-fill > AI Mode (From the Questionnaire or Internal Project tab)
- Under the Documents section upload source documents (e.g., prior DDQs, PPMs, ESG policies, compliance manuals) or select from the document library
- Run AI Auto-Fill, and it will begin processing. A message will pop-up confirming that responses are being generated.
- Processing takes a few minutes, and the progress bar shows autofill progress and the estimated time to complete.
- After processing, an AI Auto-fill Summary will be visible
- This provides:
- Total number of responses generated
-
Source documents used. Each response links back to its source document, including page numbers and downloadable files.
-
The confidence level of a response, that suggests how accurate the information is:
- High Confidence responses (All required details are available and fully referenced.)
- Limited Confidence responses (Information is incomplete or conflicting.)
-
Unanswered questions
- Additionally, the AI evaluation engine identifies and explains the reason behind each response. Whether it is directly stated information in the source file or a calculated figure, every response will include an “AI Reasoning”.
- From here, it is possible to:
- Autofill unanswered questions using other documents or past projects
- Assign reviewers to specific responses or based on confidence level.
.
- The Reviewer can make use of:
-
Project Filters to quickly filter responses by High or Limited Confidence.
-
Approve all High Confidence responses in one action.
-
Project Filters to quickly filter responses by High or Limited Confidence.
-
Notes:
- Once a response is edited, source details are moved to the history panel, keeping the main response clean.
- All AI responses are initially saved as drafts. They must be marked Final before formal reviews can begin
2. Using the Writing Assistant
The Writing Assistant helps Responders refine, expand, and improve responses directly within the platform.
I. Available prompts
DV Assist provides predefined prompts to support common writing needs:
-
Summarize: Condense long content into key points.
- Example: A responder has to answer questions about investment strategies and has a ton of historical data to refer to. Using the Summarize prompt, DV Assist distills this information into a summary, allowing them to quickly comprehend a summary giving a clear picture of their investment strategies to the requestor.
-
Elaborate: Expand brief inputs into detailed responses
- Example: A responder briefly receives points from his team about a requested question. By using the Elaborate prompt, the responder can generate a more detailed explanation, providing better insights into the responder’s approach to the topic.
-
Fix Writing Mistakes: Correct grammar, spelling, and punctuation.
- Example: We all could unknowingly make several typos and grammatical errors. DV Assist can automatically correct these mistakes, allowing the investment professional to focus on content rather than form.
-
Make More Readable – Simplify complex or technical language.
- Example: A responder receives a highly technical explanation of their quantitative investment strategy from the internal team. The Make More Readable prompt simplifies the language, making it easier for the requestor to grasp the core concepts.
-
Trim Word Count – Reduce length while preserving meaning
- Example: A DDQ report exceeds the word limit for an upcoming client report. By using the Trim Minimally or Trim Significantly prompt, the user can shorten the text to meet the requirement without losing key information.
-
Change Voice (Active/Passive) – Adjust tone and clarity
- Example: A response is written in passive voice, making it less direct. The user can use the Change Voice (Active) prompt to make the sentences more direct and informative to improve clarity.
-
Custom Prompt – Apply tailored instructions for specific requirements
- Example: The responder team is working on a DDQ relating to internal controls and compliance procedures. The team needs to assess alignment and relevance with the current industry standards. By entering a custom prompt, DV Assist generates an analysis highlighting strengths and potential gaps in compliance and risk management, helping the team make necessary changes.
Additional Features within Writing Assistant
DV Assist also provides tools to support review and editing:
-
Compare: View differences between original and AI-generated responses
-
Replace: Replace manually added text with AI-generated content
-
Append: Add AI-generated content alongside existing text
-
Copy: Export responses for use outside the platform
-
Regenerate: Generate alternative versions of a response
-
Prompt Toggle: Apply prompts to original or generated content
Common Use Cases For Requestors
DV Assist helps Requestors streamline the due diligence process by reducing manual effort, improving consistency, and accelerating review workflows. Rather than spending significant time reviewing lengthy Responder materials, extracting key information manually, and drafting summaries from scratch, Requestors can use DV Assist to work more efficiently and focus more on analysis and decision-making.
When can Requestors use DV Assist?
DV Assist can support Requestors at multiple stages of the diligence lifecycle, from initial screening and document review to memo drafting and ongoing monitoring. Below are some of the key use cases:
1. Reviewing Responder materials more efficiently
Due diligence often requires reviewing a large volume of materials shared by Responders, including DDQs, PPMs, financial statements, quarterly letters, compliance documents, and ESG policies. DV Assist helps Requestors navigate these materials more efficiently by surfacing relevant information and reducing the amount of time spent on manual review.
For example, Requestor receives a DDQ, a PPM, and several recurring updates from a Responder. Instead of manually reviewing each document in full to locate details such as fees, liquidity terms, or operational information, DV Assist can help organize and surface that information for faster review.
2. Converting unstructured Responder documents into structured diligence data
Responders do not always provide information in a uniform format. Some may respond through structured questionnaires, while others may rely more heavily on supporting documents. DV Assist helps Requestors convert this unstructured information into a more organized and consistent format that is easier to review and compare across Responders.
This is particularly helpful when Requestors need to:
- Standardize information across multiple Responders
- Improve comparability across opportunities
- Reduce the manual effort involved in transferring information into internal templates or frameworks
3. Pre-filling diligence questionnaires before sharing them with Responders
DV Assist can help Requestors prepare DDQs, RFIs, and similar workflows by using available source documents to pre-fill draft responses before they are shared with a Responder. This gives the Requestor a more informed starting point and helps identify which areas already have sufficient information and which require follow-up.
This is useful, as starting with a draft rather than a blank questionnaire can help Requestors:
- Reduce unnecessary back-and-forth
- Improve turnaround times
- Focus on follow-up questions more effectively
- Streamline the early stages of diligence
4. Accelerating initial screening of Responders
Initial screening is often one of the most resource-intensive stages of the diligence process, especially when reviewing multiple Responders at once. DV Assist helps Requestors move through this stage more efficiently by organizing key information and reducing the amount of manual effort required to form an initial view. The broader positioning across the materials is that DV Assist supports scale by helping teams manage more diligence work without proportionally increasing manual workload.
For example, a Requestor assessing several Responders for a potential allocation can use DV Assist to identify relevant information more quickly, detect missing details earlier, and prioritize which opportunities should move to deeper review.
5. Supporting first-pass investment memo drafting
DV Assist can assist Requestors in preparing first drafts of investment memos using information already available in diligence materials. This is especially useful when analysts need to consolidate findings from multiple documents into a consistent internal format. The materials position these drafts as source-backed and evidence-linked, which supports a faster and more controlled memo drafting process.
This matters, as drafting investment memos can be time-intensive, particularly when information must be collected from several different sources. DV Assist can help by:
- Reducing the time spent on initial drafts
- Improving consistency across memos
- Supporting a more repeatable documentation process
6. Extracting key terms from important fund and operational documents
In many cases, the challenge is not reviewing the entire document, but locating specific details within it. DV Assist can help Requestors extract important information from fund and operational documents, including fees, liquidity provisions, gates, lockups, concentration limits, and redemption terms.
For example, rather than manually scanning a PPM and related documents for liquidity-related language, a Requestor can use DV Assist to surface those details more efficiently as part of the diligence review.
7. Improving consistency across Responder evaluations
Different Responders often provide information in different formats, and different reviewers may summarize that information in different ways. DV Assist helps Requestors bring more structure and consistency to the evaluation process, which is particularly valuable when multiple team members are involved in diligence or when comparisons need to be made across a broad set of Responders.
This can help Requestors:
- Compare Responders on a more consistent basis
- Reduce variation in internal write-ups
- Make internal review discussions more straightforward
8. Supporting ongoing monitoring after initial diligence
DV Assist is positioned not only as a tool for initial diligence, but as part of the broader diligence lifecycle, including ongoing monitoring and future risk identification. This means Requestors can continue using it when updated letters, disclosures, or other supporting materials are shared by a Responder over time.
For example, when a Responder provides updated materials following onboarding or approval, DV Assist can help the Requestor review those updates more efficiently and identify changes that may warrant further attention.
9. Allowing Requestors to focus more on analysis
A consistent theme across the materials is that DV Assist is intended to support the diligence process, not replace judgment. Its role is to reduce the operational burden of document review, information extraction, and first-pass drafting so that Requestors can spend more time assessing the opportunity itself.
This is particularly valuable for Requestors looking to:
- Scale diligence workflows
- Review more Responders efficiently
- Improve speed without compromising review standards
For Requestors, DV Assist is most valuable when the diligence process becomes document-heavy, manual, or time-consuming.
