Reports can be created in just a few clicks, significantly reducing the time and manual effort required to assemble diligence deliverables.
Initial Setup: Presentation Design
The first main step involves designing the format of your report and aligning specific "tags" with the questions and answers you want to include.
- Navigate to Presentation Design: From the left navigation bar, go to Reports > Presentation Design.
- Create a New Report Design: Click on the "+" sign to initiate a new report design.
- Name Your Report and Select Template(s): Provide a name for your report. Under "Source Template," select the template(s) from which you wish to pull responses for your report.
- View and Copy Tags: Once you've selected the template(s), click on "view tags". Copy the DV tags corresponding to the data points you want to include. These tags act as placeholders in your Word document and will be replaced by actual responses when the report is generated. Here, you will find three types of tags: Project and Entity Tags, Questionnaire and Rating Tags & Custom Field Tags
- Project and Entity Tags: These tags provide details about the project and the associated entity.
- Entity Details: Includes tags related to the entity e.g firm name, product name, responding firm name, etc
- Project Details: Includes tags related to the project e.g project name, project creation date, project as of date, etc
- Report Details : This includes the tags that are related to the report that you are creating e.g Report name, Report creation date, etc
- Project Rating and Flags : Here you will find tags that you can use to copy all flagged questions from the project and the Total Rating Tag.
- Tracker Items: You can include a summary of all project or entity tracker items (counts of resolved, overdue, open, in-progress items, and counts by priority). You can also pull a detailed list of all tracker items at the project or entity level.
- Project Documents: Tags allow you to pull a table listing all documents attached to the project (including document name, link, as-of date, types/tags, last review date, and reviewer) or a table listing only reviewed project documents.
- Questionnaire and Rating Tags: This section is split for granular control.
- Questions: Allows you to grab specific question details, responses, comments, or internal notes. Internal notes are now available at the individual question level.
- Categories and Subcategories: You can select specific categories and subcategories to pull their relevant tags. This includes subcategory internal notes and tags for pulling lists of all flagged Q&As within a category or subcategory.
- Flagged Questions and Responses: A significant addition allows you to pull all flagged questions and responses from the entire project, or specifically from a category or subcategory, which is highly useful for review processes.
- Rating Tags: Rating tags have been grouped into a dropdown, providing options to copy rating values, names, and colors. This simplifies the previous individual tags for these elements. Previously, score tags were only available for the scoreband scale. Now, score tags are also available for absolute scores, meaning you can pull the numerical value (e.g., "3" for a 3-star rating) even if the rating method assigns a name directly (e.g., "minimum requires met").
- Custom Field Tags: These tags support both entity and project custom fields.
- You can choose to include both the custom field name and its value or just the value.
- If a custom field value does not exist, the report will display "No Data Available" when both name and value are exported. If only the value is exported, it will appear blank.
*Update : ADV type custom fields are now supported in the tags.
Note: Question type custom field is currently not supported by these tags.
- Project and Entity Tags: These tags provide details about the project and the associated entity.
- Upload Your Custom Word Report: After copying the necessary tags, save your Word file. Then, upload this file in the "Upload Output file" section and click "Save".
Report Generation: Presentation Report
Once your report design is complete with all the necessary tags, you can proceed to generate the actual report.
- Navigate to Presentation Report: Go to Reports > Presentation Report from the left navigation bar and click the "+ New Report" sign to create a new report.
- Select Report Design and Date Range: In the next step, choose the Report Design you created in the "Presentation Design" section. Also, select the date range of the project that was created using the selected template.
- Important: Remember, the project must be marked as completed by the manager.
- Important: Remember, the project must be marked as completed by the manager.
- Select Associated Projects: In the subsequent step, select the specific project(s) associated with the template from which you need responses.
- Finalize and Export: In the final step, give your report a name, select the required "as of" date, and click "export" to generate the report.
Downloading and Managing Your Reports
Once the report is generated, you have several options:
- Download the report.
- Send it to your email.
- Delete the report.
You can also download the report directly from the project itself, if the report is only linked to only one template.
By following these steps, you can effectively configure and generate powerful, custom Presentation Reports in DiligenceVault, streamlining your reporting needs and enhancing your due diligence processes.
