Template Audit Trail enables users to track and review all changes made to templates in DiligenceVault. This provides transparency into how templates change, clearly showing who made changes, what was updated, and when the changes occurred. The feature helps teams manage template governance, support audits, and collaborate more effectively.
A. Find Template Audit Information
1. From the Template Grid
Template audit-related information can be directly viewed from the Template grid. The grid displays:
- Last Updated By: Displays the name of the user who most recently edited the template.
- Updates in Last 90 Days: Shows the total number of changes made to the template in the past 90 days.
- Audit History: Allows users to download the complete audit history directly from the Template grid.
This allows users to quickly identify active templates and access audit details without opening the template.
2. From individual Template
You can open a template and download its audit history by selecting: More → Download Audit History.
The downloaded Excel file can be used to review changes offline, share with internal stakeholders, or support audit and compliance reviews. The Excel file includes the following fields:
- Category Name
- Subcategory Name
- Response Type
- Nested Rule (Indicates whether the change is related to a nested or conditional question)
- Question Text
- Template Version (The template version in which the change was made)
- Question ID
- Change Date and Time
- Updated by User
- Change Type (Type of update performed - added, updated, or deleted)
- Old Value
- New Value
Each row in the Excel file represents a single change event, allowing users to clearly track how individual questions, categories, or configurations were modified.
B. Data Availability
Audit data is available only for changes made after the Template Audit Trail feature is released. Historical changes made before the release are not available. All new changes going forward are fully tracked.
C. Access and Permissions
Access to the Template Audit Trail follows existing template permissions. Users who have access to view templates can download and review audit history from the grid or from within the template.
