Once a manager has submitted a project, there are situations where a requestor may need to send it back for edits. This could be due to incomplete answers, a change in requirements, or a need to follow up on a specific response. DiligenceVault provides three ways to enable this, depending on the project's current status and the scope of revision needed. Requestors can reopen an entire approved project, request a revision on a completed project, or allow edits to a single question without reopening the full project.
Who This Is For
This article is intended for requestors who need to allow a responder to edit responses on a project that has already been submitted.
Reopening an Approved Project
Use this when the project has been approved and you need the manager to revise their responses across the full questionnaire.
- Open the project and go to the Questionnaire tab
- Click the More button (three-dot icon) located within the tab
- From the options that appear, select the option to change the project status to Started
- The project status will update to Started and the manager will regain the ability to edit and resubmit their responses
Requesting a Revision on a Completed Project
Use this when the project has been reviewed and marked as completed, but needs to be sent back to the manager for edits before it is approved.
- Open the project and go to the Summary tab
- Click the Request Revision button
- The project status will change to Started and the manager will be able to edit their responses and resubmit
Allowing Edits to a Specific Question Only
Use this when only one or a few responses need updating and you do not want to reopen the entire project. This keeps the rest of the submission intact and limits the scope of the revision to the questions you select.
- Open the project and go to the Questionnaire tab
- Locate the specific question you want the manager to revise
- Click the Follow Up with Responder icon on the right side of the question
- A message panel will open. Write your message to the manager explaining what needs to be updated
- Before sending, make sure the Allow Response Revisions toggle is enabled
- Send the message
The manager will receive the follow-up and will be able to edit only that specific response. The rest of the project remains locked and unchanged.
Things to Keep in Mind
- When the project status is changed to Started, the manager can edit all responses across the full questionnaire.
- Using Follow Up with Responder with Allow Response Revisions enabled is the recommended approach when only targeted edits are needed, as it avoids reopening the full project
- Make sure the Allow Response Revisions toggle is turned on before sending the follow-up message. If it is not enabled, the manager will receive the message but will not be able to edit the response
Example Use Case
A requestor at an investment firm has reviewed a due diligence questionnaire submitted by a manager. After approving the project, the compliance team flags that the response to the AML policy question is outdated and needs to reflect the manager's revised policy document.
Rather than reopening the entire project, the requestor goes to the Questionnaire tab, locates the AML policy question, and clicks the Follow Up with Responder icon. They type a message asking the manager to update the response with the current policy details, enable the Allow Response Revisions toggle, and send the message.
The manager receives the follow-up, updates only that response, and the rest of the submission remains unchanged. The requestor then reviews the updated answer and closes out the follow-up.
