What is DiligenceVault’s Document Intelligence Engine?
Document Intelligence Engine is DiligenceVault’s AI-powered Document Autofill solution that leverages natural language processing and advanced machine learning to:
- Extract and structure content from unstructured and formatted diligence documents (e.g., PPMs, audited financials, compliance manuals, ESG policies).
- Pre-fill DDQs, RFIs, and RFPs at scale
- Standardize manager and fund information into searchable, comparable profiles for investors.
This automation ensures that documents are no longer dependent on exhaustive manual review, freeing up teams to focus on higher-value analysis.

1. Structuring Manager Data
Requestors often receive lengthy fund documents outside of standard questionnaires. Document Intelligence Engine transforms these into structured templates in DiligenceVault—enabling trend tracking, peer comparisons, and anomaly detection without the time cost of manual extraction.
2. Pre-Filling Questionnaires
Document Intelligence Engine can auto-populate DDQs/RFIs/RFPs from manager documents before they are even shared with managers. This reduces turnaround times while preserving review controls.
3. Template-Based Extraction
Structured documents (like audited financial statements) and unstructured ones (such as prospectuses or commentaries) can be seamlessly converted into standardized, digital templates—making diligence more efficient and auditable.
Use Cases for Responders
1. Accelerating DDQ Responses
Responders can upload previously completed questionnaires (Excel, PDF, Word) or source documents. Document Intelligence Engine then maps relevant responses to new investor questionnaires, ensuring speed and consistency.
2. Leveraging Internal Documents
Prospectuses, ESG policies, compliance manuals, or marketing decks can be ingested, and Document Intelligence Engine extracts relevant passages to pre-fill investor questionnaires—anchoring responses in approved, accurate content.

How to Use Document Intelligence Engine
Document Intelligence Engine is designed to make your due diligence process faster, smarter, and more reliable. Below is a step-by-step guide on how to get started, along with an overview of its key capabilities.
1. Getting Access
Document Intelligence Engine is a paid add-on. To enable it, please reach out to your Customer Success Manager (CSM) or email us at ask@diligencevault.com.
Once the DV team enables Document Intelligence Engine for your firm:
- Navigate to Firm Settings > Preference > Firm Preference > Control Workflow Defaults
- Toggle on Enable GenAI Application Use
This activates Document Intelligence Engine for your account.
2. Setting Up Templates
To generate AI responses, you’ll first need a template :
- Go to Manage > Template
- Create a template with the questions you’d like Document Intelligence Engine to answer
Once the template is ready, create an internal project.
3. Generating Responses with Document Intelligence Engine
Within your internal project:
- Navigate to Auto-fill > AI Mode
- Choose whether to autofill:
- All categories, or
- Selected categories only
- Select your source documents:
- Upload New documents, or
- Use Existing Documents from your library
- Click Auto-fill as Drafts
Document Intelligence Engine will begin processing. You’ll see a message confirming that responses are being generated.
Processing takes a few minutes, and you’ll see the autofill progress and estimated time to complete in the progress bar.
4. Reviewing AI Autofill Summary
After processing, you’ll see an AI Auto-fill Summary, which provides:
- Total number of responses generated
- Source documents used
- Breakdown of:
- High Confidence responses
- Limited Confidence responses
- Unanswered questions
From here, you can also:
- Assign reviewers to specific responses
- Autofill unanswered questions using other documents or past projects
5. Key Capabilities of Document Intelligence Engine
Document Intelligence Engine’s strength lies in its AI evaluation engine, which ensures responses meet high standards of accuracy and clarity while staying traceable to source material.
AI Reasoning & Confidence Scoring
- AI Reasoning : Once the responses are auto-filled, the AI evaluation engine identifies and explains the reason behind each response. Whether it is directly stated information in the source file or it is a calculated figure, every response will have an “AI Reasoning”.
- Confidence Levels : Confidence level of a response suggests how accurate the information is. This will help you to identify responses that need just an overview or a thorough review.
- High Confidence: All required details are available and fully referenced.
Example: Listing all factors for a neutral global fixed income stance, citing page 9 of the source. - Limited Confidence: Information is incomplete or conflicting.
Example: Summarizing equity allocation rationale but omitting South Africa’s political and investor-confidence context.
- High Confidence: All required details are available and fully referenced.
- Source Attribution: Each response links back to its source document, including page numbers and downloadable files.
- Editable Traceability: Once a response is edited, source details are moved to the history panel, keeping the main response clean.
Response Intelligence
- Intelligent Autofill: Detects and reuses exact or similar responses from existing documents instead of regenerating.
- Image & Table Handling:
- Extracts data from images and performs required calculations
- Populates dynamic grids from images, flagging missing inputs
- Computes values from embedded tables
- Unit & Format Conversion: Converts figures into the requested units (e.g., percentages, basis points, currency conversions).
- Cross-Document Search: Finds relevant information across all supported formats (PDF, DOCX, Excel, CSV, PPT, Text).
6. Reviewing & Finalizing
Document Intelligence Engine streamlines the review workflow with smart controls:
- Project Filters: Quickly filter responses by High or Limited Confidence.
- Reviewer Filters: Assign reviewers based on confidence level.
- Bulk Finalization: Approve all High Confidence responses in one action.
Note: All AI responses are initially saved as drafts. They must be marked Final before formal reviews can begin.
With these steps and features, Document Intelligence Engine doesn’t just generate responses — it explains its reasoning, ensures traceability, and speeds up both drafting and reviewing, so teams can focus on higher-value analysis.
Limitations
While Document Intelligence Engine is powerful, it is not a content generator. It does not:
- Pull knowledge from the internet or beyond uploaded documents.
- Autofill AUM/TR tables or attachments.
- Generate at the individual question level. This feature is available for full projects, though users can select specific categories/subcategories.
- Maximum of 3 documents can be uploaded at a time.
- Files should be approximately up to 200 pages for PDFs and 300 pages for plain text or Word files.
