After you send a project, you may need another person at the responder firm to receive it. A colleague might have been left off the original invite, or a new point of contact may have taken over the response. You can add recipients to a project that has already gone out, without withdrawing it or raising a fresh request. The people already working on the project keep their access, and the new recipient receives the same project.
Where you add the recipient depends on one thing: whether the responder firm has opened the project yet.
- If the project has been sent but not yet opened, you add recipients from the Sent tab using Manage Details.
- If the responder has already opened or started the project, you add and review recipients from the project's Summary tab.
Both places use the same add contact action, so the only difference is where you go to reach it.
Where to add a recipient depends on whether the responder has opened the project.
Adding Recipients Before the Project Is Opened
Use this route when the responder firm has not opened the project yet, so it still sits under the Sent tab.
Navigation path
From the left navigation panel, go to Diligence > Projects, then open the Sent tab.
Steps
- Go to Diligence > Projects and select the Sent tab. This lists every project you have sent but the responder has not yet opened it.
- Find the project you want to update. Use the search box or the date range filter at the top of the page if the list is long.
- On the right of the project row, click Manage Details. The Manage Details window opens.
- Go to the Sent To section, which lists the contacts the project was sent to.
- Click the add contact icon, the person with a plus sign, beside the Sent To list.
- Add the contact you want to include and confirm. The new recipient is added to the project and appears as a chip in the Sent To list.

Subscribers and recipients are not the same list
The Manage Details window also has a Subscribers section at the top. Subscribers are managed separately from recipients, and subscriber are internal users who receive project notifications. To add someone who should receive and respond to the project, use the Sent To list rather than the Subscribers list.
Adding or Reviewing Recipients Once the Project Is in Progress
Once the responder firm has opened or started the project, it moves on from the Sent tab, and you manage the recipient list from the project listed in the In progress tab.
Navigation path
From the left navigation panel, go to Diligence > Projects, open the project, then select the Summary tab.
Steps
- Go to Diligence > Projects.
- Find the project using the search box or the Status filter, then open it.
- Select the Summary tab if it is not already open.
- In the left panel, go to the Sent To list. It shows the current recipients so you can see who the project is with.
- Click the add contact icon below the Sent To list to add another recipient.

Tips and Things to Know
- You do not need to withdraw and resend a project to add a recipient. Adding one keeps the existing responses and the existing recipients in place.
- Use the Sent tab for projects that have not been opened, and the Summary tab for projects already in progress. Both reach the same add contact action.
- Add the recipient under Sent To, not under Subscribers, since the two lists serve different purposes.
- A recipient you add receives the same project as the original recipients.
Example Use Case
An analyst at an investor firm sends a quarterly compliance questionnaire to a manager. A day later the manager's operations lead asks to be included so they can complete the operational sections. Because the manager has not opened the project yet, the analyst goes to Diligence > Projects, opens the Sent tab, finds the project, and clicks Manage Details. Under Sent To they click the add contact icon, add the operations lead, and confirm, then check the Audit Trail to see the new invitation.
A week later the project is in progress and the analyst needs to add one more reviewer. This time they open the project, go to the Summary tab, and add the recipient from the Sent To list there, while also checking the answered question count to see how far the team has got.
