DiligenceVault allows you to upload a questionnaire received from a Requestor in Word or Excel format, complete it on the platform, and export the responses back into the original uploaded file.
This helps your team retain the original document structure and formatting while using DiligenceVault features to complete and manage the questionnaire.
Here's how to do it:
A. Upload the Questionnaire
When you receive a DDQ or questionnaire from a requestor in Word or Excel format, upload it to DiligenceVault using the Parser. The Parser converts the uploaded document into a project that your team can complete within the platform.
For more information about uploading a questionnaire, refer to How to Upload a Document in Order to Digitize an Investor Request (DDQ) or Create a Standard DDQ
B. Complete the Questionnaire
Once the questionnaire has been uploaded and parsed, you can complete the responses directly on the platform.
You may also download the project using Work Offline and Sync, update the responses in the offline file, and sync the completed responses back to DiligenceVault.
C. Export the Project to the Original File
After the responses are finalized, you can export the project back into the original parsed Word or Excel file. To export:
- Open the Questionnaire page
- Click on the Export/Sync option
- Select the Export in Word or Excel option from the list
- And go to the Export to Original File tab
When exporting the project, you can choose from the following two options.
1. Export Platform Responses and Replace Any Imported Responses
Select this option when you want the platform responses to replace the response text that was included in the originally uploaded file.
For example, if the uploaded document already contained a response, that response will be replaced with the latest response available on DiligenceVault.
The exported file will contain the final platform responses while retaining the original document formatting.
2. Export Platform Responses to the Original File
Select this option when you want to retain the response text from the originally uploaded file and also include the responses completed on DiligenceVault.
The original imported response text will remain unchanged, and the platform response will be added to the file.
This option is useful when you need to preserve the original responses for reference while also showing the updated platform responses.
D. Original Formatting
The export retains the original formatting and structure of the uploaded Word or Excel file, including:
- Sections and question order
- Tables and cell formatting
- Fonts and text formatting
- Document layout
- Existing content
E. Important Consideration
Do not make structural changes to the template after the document has been parsed.
Changes such as adding, deleting, moving, or reorganizing questions or sections may break the connection between the project and the original uploaded file. As a result, the option to export the project to the original format will not work and will be greyed out.
