Overview
The Remind feature in DiligenceVault helps requestors quickly follow up with responders who have not yet started or completed a project. If a project has been sitting in the Sent tab for some time, you can send a reminder directly from the project list instead of manually reaching out outside the platform.
This is useful when you want to nudge managers, asset managers, or other responders to review and respond to a project that has already been sent to them.
You can send a reminder in two ways:
- Send a reminder for a single project
- Send reminders in bulk for multiple projects
When Should You Use the Remind Feature?
Use the Remind button when:
- A project has been sent but the responder has not yet started it.
- A project has remained in the Sent tab for longer than expected.
- You want to follow up with one manager on a specific request.
- You want to remind multiple responders across several pending projects at once.
- You want to keep follow-ups within DiligenceVault instead of sending separate emails manually.
How to Send a Reminder for a Single Project
To send a reminder for one project, follow these steps:
- Navigate to Diligence from the left-hand navigation menu.
- Click Projects.
- Open the Sent tab.
- Locate the project you want to remind the responder about.
- Scroll to the right until you see the Action column.
- Click the Remind button for that project.
Once you click Remind, DiligenceVault sends a reminder to the responder associated with that project.
How to Send Reminders in Bulk
If you need to remind multiple responders at once, you can use the bulk reminder option from the same Sent tab.
To send reminders in bulk:
- Navigate to Diligence > Projects.
- Open the Sent tab.
- Select the projects you want to remind by using the checkbox on the left side of each row.
- To select all visible projects, click the checkbox to the left of the Entity Name column.
- After selecting one or more projects, a bulk action bar appears at the top of the screen.
- Click Remind from the top action bar.
This allows you to send reminders for multiple sent projects at the same time.
Audit History
Every reminder sent from a project is automatically recorded in the project's Audit Trail, allowing you to keep track of all reminder activity.
To view the reminder history:
- Navigate to Diligence > Projects > Sent.
- Locate the project and click Manage Details in the Action column.
- In the Manage Details window, scroll down to the Audit Trail section.
The Audit Trail displays a chronological history of project activities, including each time a Reminder was sent. This allows you to verify when reminders were previously sent and helps avoid sending unnecessary duplicate follow-ups.
