Overview
Assigning internal contacts lets you link one or more users from your firm to an entity, such as a strategy, product, vehicle, or your firm. Once a user is assigned, they appear as a responsible contact for that entity and can receive notifications and updates related to it.
Use this when you want the right people on your team to stay informed about activity on a specific entity, and to make ownership clear to others who view that entity.
How assigned internal contacts relate to an entity.
Key benefits
- Clear ownership: anyone viewing an entity can see who is responsible for it.
- Timely updates: assigned contacts are notified about activity tied to the entity.
- Flexible scope: assign contacts to many entities at once, or to a single entity.
Assigning Internal Contacts
Internal contacts are managed from the Manage Tab. From the left navigation panel, open Manage and select the entity type you want to work with.
Manage › My Firm (or select Strategies, Products, Vehicles, or Requesting Firms)
Opening the Manage menu to reach your entities.
There are two ways to assign internal contacts, depending on how many entities you need to update.
Assign To A Single Entity
Use this method to assign contacts to one entity at a time.
- From the left navigation panel, open Manage and select the relevant entity type.
- Open the specific entity you want to update.
- Go to the associated contacts section for that entity. At firm level, this is the Associated Entities tab, Contacts view.
- Click Assign Internal Contact.
- Select the user(s) you want to assign.
- Click Save.
The selected users are now associated with that entity.
The Assign Internal Contact button on the Associated Entities > Contacts view.
The Assign Internal Contacts Window
When you assign contacts, a window opens where you confirm the details before saving.
- User Role: choose the role that applies to the users you are assigning.
- Members: search for and select one or more users, or use Select All to choose everyone in the list.
- Mark selected users as primary contact: select this to make the chosen users primary contacts for the entity.
Click Assign Contacts to complete the assignment.

Assign In Bulk (Multiple Entities At Once)
Use this method to assign the same contacts to several entities in a single action.
- From the left navigation panel, open Manage.
- Select the entity type you want to update: Strategies, Products, or Vehicles
- Select the checkbox next to each entity you want to update.
- Click Assign Internal Contacts.
- Select one or more users.
- Click Save.
The selected contacts are assigned to all chosen entities at once.
Selecting several entities on the grid, then clicking Assign Internal Contacts.
Setting A Primary Contact
Recommended: select Mark selected users as primary contact so the assigned users are notified of activity related to the entity.
Primary contacts carry two important behaviours:
- They are notified of any activity related to the entities assigned to them.
- An investor cannot remove primary contacts while sending out requests, so ownership stays in place throughout the request process.
