Adding Team Permissions While Creating a New Entity
Restricted users in DiligenceVault can assign a newly created entity, such as a firm, to their team at the point of creation. This is done using the “+Add Team Permissioning” option, which lets you control which teams can access the entity, its templates, and the projects created against it.
Setting up permissions during entity creation ensures the right teams get access immediately, without needing a follow-up step, and helps maintain clear data boundaries between teams working on the same entity.
Steps to Add Team Permissioning
Step 1: Search and Select the Firm
- Go to New > Firm.
- Search for the firm you want to add.
- From the search results, either click Add to Portfolio if the firm already exists, or create a new firm if it does not.
- Fill in all the required firm details.
Step 2: Open Team Permissioning
Scroll to the bottom of the form and click +Add Team Permissioning.
Step 3: Select the Permission Mode
Choose how access to this entity should be controlled:
- Exclusive: Access is limited to only the users or teams you specifically assign. These users cannot access anything else they do not have permission for. This is the mode most commonly used.
- Everyone: All restricted users can access this entity, along with its templates and projects, as long as it does not already have specific permission settings applied.
- Everyone Except: All users can access the entity except the specific users or teams you select.
Step 4: Assign the Team
- Under Team, select your team name to assign permissioning to that team.
Step 5: Set Project Visibility
Choose how much project-level visibility your team should have for this entity:
- All: Your team can view every project created for this firm, regardless of which team created it. For example, if the ODD team creates a project for this firm, your team will see it along with any projects your own team creates.
Team Owned: Your team can only view projects created by members within your own team. Projects created by other teams for the same firm remain hidden. For example, if you are on the IDD team and do not want visibility into projects the ODD team creates for this firm, select Team Owned. This effectively creates a separation between the two teams.
